Administrative Assistant​
By joining CancerFree KIDS (CFK) as the Administrative Assistant, you will work closely with the CancerFree KIDS Leadership Team and Accounting Firm to maintain financial transactions and record-keeping and assist in general office administrative tasks. In this role you will:

Support our accounting functions by performing all required bookkeeping tasks.

Entering deposits daily into CFK's accounting system.

Entering auto payments from daily bank feeds into CFK's accounting system.
-
Recording invoices into CFK's accounting system and cutting checks for signature.
-
Processing expense reports/credit card transactions on a weekly basis.
-
Support other administrative functions including but not limited to updating financial reports, and compliance related tasks.

Assist in other tasks as defined by the finance/accounting team.

Provide direct administrative support to the Executive Director and the CFK Leadership Team.

Provide high-quality administrative support to the Executive Director and the CFK Leadership Team to maximize the impact of the organization.

Provide support in key administrative activities such as follow-up from meetings, donor stewardship activities, administration oversight and meeting management.

Support the administrative management of the Board of Directors and other CancerFree KIDS boards and committees.
-
Coordinate agendas and documentation for CFK staff meetings and other internal meetings. Document action items, send follow-up and track progress of completion.

Support activities that enhance organizational culture such as team outings, life celebrations and general culture boosts.

Assist in other administrative duties as defined by the Leadership Team.

Be the primary receptionist at the CancerFree KIDS office and coordinate office operations including, but not limited to:
-
Greeting guests with a welcoming environment and assisting their needs.

Answering phone calls ensuring the call is directed appropriately/messages are relayed.

Taking pride to ensure our office appearance is a professional and welcoming environment for staff and guests.

Leads initiatives to create a positive work environment.
-
Assist in maintaining Phone/internet connectivity and office equipment.
-
Assist in maintaining Inventory, storage and office supplird.
-
Assist in the coordination of office operations and procedures, ensuring efficiency and compliance.
-
Assist in keeping the office organized and exuding a professional, welcoming experience.

Assist in other duties as assigned.

What You Will Bring
Education: Associates degree is required, though a degree in business administration or a related field is preferred.
Experience:
-
Proficiency in QuickBooks to support bookkeeping functions.
-
Proficiency in office software such as Microsoft Office (Word, Excel, PowerPoint, Outlook) and sometimes specific industry software.
-
Customer-service oriented. Positive, whatever-it-takes to get the job done attitude.
-
Excellent verbal and written communication skills.
-
Professional phone etiquette and ability to interact confidently with executives, clients, and other stakeholders.
-
Ability to coordinate schedules, appointments, and travel arrangements for executives.
-
Genuine care for our mission and for children with cancer and their families.
Skills:

Experience in handling correspondence, drafting emails, memos, and reports.

Strong organizational skills to accomplish multiple tasks simultaneously.

Attention to detail in handling documents, records, and data.

Previous experience in administrative roles or in bookkeeping is preferred.

Demonstrated success in administrative supporting or bookkeeping functions, minimum 2 years+

Standard office hours (Mon-Fri | 9am-5pm).
